How to choose grooming software: a checklist that actually matters

Feature lists all look the same. Here is what genuinely moves the needle when you pick software for a grooming salon or mobile grooming van.

Every grooming software website promises "easy booking" and "powerful reports". Those phrases tell you nothing. After talking with hundreds of salon owners, we have found that the right choice comes down to a short list of practical questions. Take this checklist into every demo, including ours.

1. Does the calendar match how you work?

Grooming days are not neat 30-minute slots. A doodle de-matting can take three hours; a nail trim takes ten minutes.

  • Can each service have its own duration by pet size and coat?
  • Can you see every groomer side by side and drag appointments between them?
  • Does it handle buffer time for drying, and block breaks and leave?
  • For mobile grooming: does it plan routes and travel time between addresses?

2. Is the pet the centre of the record?

A good system stores the pet, not just the owner. Look for breed, weight, coat type, temperament notes, allergies, vaccination dates and before/after photos — visible to the groomer on the day, not buried three screens deep. A note like "bites when ears are touched" is worth more than any dashboard.

3. How good is online booking?

Ask to book as a customer during the demo.

  • Can clients book from your website, Instagram link or a WhatsApp link?
  • Does it collect the pet's details and vaccination status up front?
  • Can you require a deposit for new clients or long services?
  • Can you control which services and staff appear online?

4. Are reminders automatic — and on the right channel?

In much of Asia and the Middle East, reminders that only go by email are nearly useless. Make sure confirmations and reminders go out on WhatsApp automatically, with your wording, at times you choose. This single feature usually pays for the software by cutting no-shows.

5. Billing that suits your country

  • Tax: GST for India, VAT for the UAE, GST for Australia — with correct invoice formats.
  • Payments: cards, UPI or local wallets, cash, and split payments.
  • Packages and memberships: prepaid bundles of grooms with credits tracked automatically.
  • Tips and commission per groomer.

6. Can it grow with you?

You may be one salon today. Ask what happens when you add a second branch, a boarding wing or a retail shelf. Can you see stock, staff and revenue per location and combined? Switching systems later is painful, so pick one with room to grow.

7. Staff access and permissions

Your receptionist should not be able to delete invoices. Your groomers might need to see their own schedule on a phone but not your revenue. Check for roles and permissions and a mobile app staff will actually use.

8. Data, support and exit

  • Can you import your existing client list from a spreadsheet?
  • Can you export everything if you ever leave?
  • Is support available in your time zone, by chat or phone, in your language?
  • How long does onboarding take — days or months?

9. Total cost, honestly

Compare the full monthly cost: per-staff fees, per-location fees, messaging charges, payment fees and add-ons. A cheap base price with expensive extras is common. Ask for a quote based on your actual team size.

A simple scoring method

Score each vendor 1–5 on the nine points above, double the weight of the three that matter most to you, and add them up. Then ask two current customers of a similar size how the first three months went.
