Pet profiles: details, photos, vaccinations and history

Keep each pet's details, photo, allergies and vaccination due dates up to date, review certificates from parents, and see style history, photos, care logs, medical and service history.

Each pet has its own profile at /app/pets/<id>. Open it from the customer list, from the customer's Pets tab, or from anywhere else a pet's name is linked.

Who can do this: anyone with View customers & pets can see pet profiles. Editing, photos and vaccinations need Create / edit customers & pets. The Medical history tab only appears for roles with View medical records (by default Owner, Admin, Manager, Veterinarian and Front desk).

The header

At the top you'll see the pet's name, a summary of key facts (species, breed, age, weight, size, sex, neutered, microchip, temperament) and a link to the owner. If Allergies are filled in, they show in a red banner so nobody misses them.

To add or change the photo, click the camera button on the avatar. JPG, PNG, WebP, GIF, HEIC and AVIF images under 5 MB are accepted.

The tabs

  1. 1Profile: the full pet form, with Basics (name, species, breed, sex, date of birth, Neutered / spayed, Weight (kg), size, colour, Coat type, Temperament, Microchip ID) and Health & care (Allergies, Medical notes, Care / grooming notes, Feeding instructions). Click Save changes when you're done. If a pet has passed away, tick Crossed the rainbow bridge.
  2. 2Vaccinations: click Add vaccination and fill in Vaccine (common names are suggested as you type), Given on, Next due, Batch no., Given by and Notes. A red Overdue badge appears once the due date has passed, and a yellow Due soon badge appears within 30 days of it. Use the pencil to edit a record, or (Owners, Admins and Managers) the bin to delete one. The tab shows a number when certificates are waiting for review (see below).
  3. 3Style history: every grooming visit, newest first, with the date, the services, the groomer, the before and after photos and the groomer's notes. Click Booking → to open that visit. See before & after photos and style history.
  4. 4Photos: everything shared with the pet parent, newest first: care photos from stays and grooming photos. Click a photo to enlarge it.
  5. 5Care logs: the latest 50 feeding, walk, medication and other entries logged during boarding or daycare. Entries shared with the pet parent carry a Shared badge.
  6. 6Medical history: consultations from the clinic module. Click one to open the full record.
  7. 7Services history: past visits with the services, staff member, status and amount.

Vaccination certificates

Parents can upload a photo or PDF of a certificate from their link, and you can add one yourself with Upload certificate. Uploads wait under Certificates waiting for review at the top of the Vaccinations tab.

  1. 1Open the file and check the pet's name, the vaccine and the dates.
  2. 2Click Approve, attach it to a new or existing vaccination record, fill in Given on and Due on, and click Approve certificate. The vaccination then shows a Verified badge and a View certificate link, and the parent sees Verified on their link too.
  3. 3Or click Reject if it is unreadable or belongs to another pet. The parent isn't told automatically, so message them.

The full steps are in review vaccination certificates uploaded by parents.

Good to know

  • Vaccine due dates drive reminders. By default, seven days before a Next due date FurKisses queues a WhatsApp reminder for customers who have a phone number and are opted in to WhatsApp. Reminders 30 days before, on the due date, and before a stay when a vaccine would run out can be switched on in Settings → Alerts for pet parents. See automatic alerts. Pets marked as crossed the rainbow bridge are skipped.
  • Parents see each vaccination on their link with Due soon, Overdue and Verified badges.
  • Certificates are private. They are never shown on the Photos tab.
  • A date of birth can't be in the future, and a vaccine's Next due date can't be earlier than its Given on date.
  • Only Owners, Admins and Managers can delete pets or vaccination records, and only they see the delete buttons. Deleting a pet also removes its vaccinations, care logs and medical records.
  • If your business has the clinic module, users who can write clinic notes also see a New consult button here.
