Roles and permissions explained

What each default role can do, and how Owners and Admins can customise permissions per role or reset them to defaults.

Updated 2026-10-02

Each team member has one role. The role decides which menu items they see and what they can change.

Who can do this: only Owners and Admins can open Roles (/app/staff/roles). Only the Owner can change the Admin role.

Default roles

  • Owner: everything, always. Owner permissions can't be changed, so an owner can never lock themselves out.
  • Admin: everything, including integrations and branches.
  • Manager: everything except Integrations & messaging and Manage branches.
  • Veterinarian: calendar and bookings, customers and pets, dashboard, medical records (view and write), view inventory, invoices and payments, and view the staff directory and rosters.
  • Groomer and Caretaker: view and edit calendar and bookings, view and edit customers and pets, and view the staff directory and rosters.
  • Front desk: calendar and bookings, customers and pets, dashboard, invoices and payments, enquiries and feedback, view inventory, view medical records, and view the staff directory and rosters.
  • Staff: view-only access to the calendar, customers and the staff directory.

Customise a role

  1. 1Go to Staff, then Roles.
  2. 2Find the permission row (grouped under Run, People, Money and Manage) and the role's column.
  3. 3Click the switch. Each change saves right away, and the column is marked customised.

To undo your changes, use the Reset <role> buttons under the matrix. They put that role back to the FurKisses defaults.

Good to know

  • Who can give which roles: Managers can add and edit staff but can't give anyone the Owner or Admin role, and can't edit existing Owners or Admins. Admins can give the Admin role. Only an Owner can make someone an Owner.
  • An Owner can change their own role (step down) only while another active Owner exists. A business must always keep at least one active Owner, so make someone else an Owner first.
  • Some rules are checked by role rather than by these switches. Only Owners, Admins and Managers can delete customers, pets, vaccinations or enquiries, add wallet credit, adjust loyalty points, save shifts, approve time off, or change configuration such as services and agreements. Only Owners and Admins can manage integrations and branches. Turning a switch on for another role won't get around these rules.
  • Every role has View staff directory & rosters by default, so everyone can open the Staff pages to clock in and request time off. If you turn it off for a role, those people can still clock in from the dashboard's My day card (where it's shown) but can't open Attendance or Time off. See Attendance.
  • If a change is blocked by these rules you'll see a clear "You don't have permission…" message, and nothing is changed.
  • Changes apply on each person's next page load.
