Add products and track stock in each branch

Create retail items, consumables and medicines, and see how much you hold in every branch.

Updated 2026-10-02

Products live under Inventory (/app/inventory). The Products tab lists everything with its Sell price, Stock and a status badge: In stock, Low stock, Out of stock or Inactive.

Add a product

  1. 1Go to Inventory and click New product.
  2. 2Fill in the fields you need (explained below). Only Product name is required.
  3. 3Tick any options that apply.
  4. 4Click Create product.

The fields:

  • SKU must be unique. Barcode lets you scan the product at the till.
  • Category groups products in filters and on the POS. Brand and Unit (pcs, bottle, kg, ml…) are for display.
  • Supplier links the product to one of your suppliers.
  • Cost price is what you pay. It's used for stock valuation. Sell price is what customers pay.
  • GST rate (%) (named after your tax label): leave it blank to use the business default.
  • HSN / tax code is printed next to the product on invoices.
  • Reorder level marks the product as low stock at or below this quantity.

The options:

  • Track batches & expiry reminds you to enter batch and expiry details when goods arrive.
  • Consumable (used in services) is for things you use, like salon shampoo, rather than sell. Consumables are hidden from invoices and the POS.
  • Medicine adds a Medicine badge.
  • Active: untick it to retire a product without losing its history.

Get stock in

New products start at zero. To add stock, either receive a purchase order, or open the product, click Adjust stock and enter a positive number. See adjusting stock.

Stock per branch

Stock is kept separately for every branch. Use the branch picker at the top of the app to choose a branch, or All branches to see combined totals. The product page shows:

  • Stock by branch, with the quantity at each location.
  • Movement history, which lists the latest purchases, sales, usage, adjustments, transfers and returns, each with a date, quantity and note.
  • Batches, which shows batches with an expiry date or batch number.

Find products

Search by name, SKU or barcode, filter by category, or click Low stock only. That filter uses the same rule as the Low stock tab: a product with a reorder level that is low in at least one branch in view.

Who can do this

Viewing inventory: Owner, Admin, Manager, Veterinarian and Front desk. Adding and editing products: anyone with the "Manage stock, suppliers & POs" permission (Owner, Admin and Manager by default). Owners can give it to other roles in Roles & permissions.

Good to know

  • Stock only changes through movements, such as sales, usage, adjustments, deliveries and transfers. You can't type a new stock number over the old one, and movements can't be deleted.
  • Product sales take stock from the branch the invoice belongs to.
  • Products can't be deleted. Make them inactive instead.
  • The list shows the first 500 products. Search to narrow it down.
