Adjust stock and record product usage
Correct stock counts, write off damaged items, and log the shampoo and supplies your team uses.
Updated 2026-10-02
Every stock change is saved as a movement in the product's Movement history. There are two manual ways to change stock: an adjustment and usage.
Record usage
Use this when stock is used up during a service, e.g. half a bottle of de-shedding shampoo or a vial of vaccine.
- 1Go to Inventory and open the product.
- 2Click Record usage. People who can manage stock see Adjust stock instead, and switch to the Record usage tab inside it.
- 3Pick the Branch.
- 4Enter Quantity used. It's always taken off the stock, so type a positive number.
- 5Add a Note if you like, e.g. "Used for Bruno's full groom".
- 6Click Record usage.
Adjust stock
Use this to correct a stock count, add opening stock, or write off damaged or expired items.
- 1Open the product and click Adjust stock.
- 2Make sure the Adjust stock tab is selected and pick the Branch.
- 3Enter the Change: a positive number to add (e.g.
5) or a negative number to remove (e.g.-2). This is the difference, not the new total. - 4Enter a Reason. It's required, e.g. "Stock count correction" or "Damaged in delivery".
- 5Click Save adjustment.
Read the movement history
Each row shows the date, the type, the quantity (green for in, red for out), the branch and the reference or note. The types are:
- Purchase: goods received on a purchase order.
- Sale: sold on an invoice or at the POS.
- Usage: recorded by a team member.
- Adjustment: a correction by someone who can manage stock.
- Transfer in / Transfer out: moved between branches.
- Return: put back when an invoice was voided or a line was removed while editing it.
Who can do this
Recording usage: anyone who can view inventory (Owner, Admin, Manager, Veterinarian and Front desk by default). Adjusting stock: anyone with the "Manage stock, suppliers & POs" permission (Owner, Admin and Manager by default).
Good to know
- The movement history can't be edited or deleted. To fix a mistake, record another adjustment that reverses it.
- Using a consumable in a service doesn't deduct it automatically. Record usage by hand.
- Groomers and caretakers can't open Inventory by default. If they need to log usage, an owner can give their role the "View inventory" permission in Roles & permissions.
- Sales, usage, negative adjustments and transfers out use up batches at that branch, earliest expiry first (see expiry alerts). Positive adjustments and returns don't add to a batch.
- Stock can go below zero, e.g. if you sell before receiving a delivery. Fix it with an adjustment after your next count.
