Low stock and expiry alerts
See what needs reordering in each branch, turn it into a purchase order, and spot batches that are about to expire.

Two inventory tabs flag stock that needs attention: Low stock and Expiry.
Low stock
The Low stock tab (/app/inventory/low-stock) lists every active product whose stock in a branch is at or below its reorder level. A product that has never been stocked at a branch counts as 0 there, so it shows up too.
- 1Set a Reorder level on each product you want to watch. Products with a reorder level of 0 are never flagged.
- 2Open Inventory → Low stock. The tab shows a count.
- 3Each row shows the Product, Branch, In stock (red when zero or below), Reorder level and Suggested quantity. The emptiest items are at the top.
The Suggested quantity tops your stock up to twice the reorder level. For example, with a reorder level of 5 and 2 in stock, it suggests 8.
Reorder in one click
- Click Create PO on a row to start a purchase order for that one product.
- Or click Create PO at the top to order every low item for a branch at once. With All branches selected, you get one button per branch.
The new purchase order is filled in with the products, suggested quantities, cost prices and branch. If all the products share a supplier, that supplier is filled in too. Check it and click Place order. See purchase orders.
Expiry
The Expiry tab (/app/inventory/expiry) lists batches that expire in the next 60 days, plus any that have already expired. Each batch shows its Batch number, Qty, Expires date and Days left:
- Red: expired, or expires today.
- Yellow: less than 30 days left.
- Green: 30 to 60 days left.
Batches are only created when you enter a Batch no. or Expiry date while receiving a purchase order. Tick Track batches & expiry on medicines and food so your team remembers to fill them in.
Who can do this
Viewing both tabs: Owner, Admin, Manager, Veterinarian and Front desk. Create PO buttons: anyone who can manage stock (Owner, Admin and Manager by default).
Good to know
- Alerts appear on these tabs only. There are no email or WhatsApp stock alerts.
- The Low stock only filter on the Products tab, the dashboard and the reports use this same rule. Products with no reorder level are never flagged, even at zero stock.
- A batch's quantity goes down as stock leaves the branch: sales, usage, negative adjustments and transfers out use the batch that expires first. Voided sales and transfers in don't add back to a batch. To write off expired stock, use an adjustment.
