Coupons are codes your team types in at checkout, on invoices or on the point-of-sale screen. They're managed in Settings → Coupons & promo codes (/app/settings/coupons).

Create a coupon

  1. 1Go to Settings and open Coupons & promo codes.
  2. 2Click New coupon and fill in the form (the fields are explained below).
  3. 3Leave Active ticked and click Create coupon.

The form fields:

  • Code: at least 3 characters, using letters, numbers, - and _ only. Codes are saved in capitals, e.g. WELCOME10.
  • Type: Percent off or Flat amount off.
  • Percent or Amount: the discount. Percent can't be more than 100.
  • Minimum bill: optional. The bill, before tax and after line discounts, needs to reach this amount before the code works.
  • Max uses: optional. Leave blank for unlimited.
  • Valid from / Valid to: optional dates.

Use a coupon

On a new invoice, type the code in Coupon in the summary and click Apply. On the POS, use the Coupon code box. If the code can't be used, a message says why: not valid, not active yet, expired, fully used, or below the minimum bill.

How the discount is applied

  • The coupon is checked against the bill after any line discounts and before tax is added.
  • The discount is shared across the lines and comes off before tax, so tax is charged on the reduced amount. See how tax is calculated.
  • A flat coupon never takes a bill below zero. Tips aren't discounted.
  • Each invoice takes one coupon, and the code shows next to Discounts on the invoice.

Manage your coupons

The list shows each code's Discount, Min. bill, Valid dates and Uses (e.g. 12 / 50). Its Status is one of active, scheduled, expired, used up or paused.

  • Pause stops a code from working, and Activate turns it back on.
  • The pencil icon edits a coupon, and the bin icon deletes it. Past invoices keep their discount.

Who can do this

Creating and managing coupons: anyone with the "Business settings" permission (Owner, Admin and Manager by default). Applying a coupon at checkout: anyone who can create invoices.

Good to know

  • Uses are counted when the invoice is saved. Even when two tills check out at the same moment, a code can't go past its Max uses.
  • Voiding an invoice gives the coupon use back. Swapping or removing the coupon while editing an invoice moves the use too.
  • The Minimum bill check always uses the amount before tax, even if your prices include tax.
