Send invoices and reminders on WhatsApp, print, or void an invoice

Share an invoice, a pay link or a payment reminder through WhatsApp, print or save it as a PDF, and void it when it was a mistake.

Everything here happens on the invoice page (/app/billing/[id]): the buttons at the top, and the Pay online card on the right.

Send an invoice on WhatsApp

  1. 1Open the invoice and click Send via WhatsApp.
  2. 2WhatsApp opens in a new tab with the customer's number and a ready-made message that includes the invoice number, the total and your business name. While money is still due and Razorpay or Stripe is connected, it also includes the invoice's pay link.
  3. 3Check the message and press send in WhatsApp.

The message comes from your Invoice sent (manual button) template in Settings → Messaging, or from a built-in default. The app logs that the message was sent.

Send a payment reminder

While a balance is due, a Payment reminder button appears next to it. It works the same way, and the message includes the amount still owed and the pay link.

There is also an automatic Payment reminder alert (off by default) that goes out a few days after an unpaid invoice was issued. Switch it on in Settings → Alerts for pet parents. See automatic alerts.

Every unpaid or part-paid invoice has a Pay online card.

  • Copy link copies the pay link so you can paste it into SMS, email or any chat.
  • Send on WhatsApp opens WhatsApp with the amount due and the link. It's offered once Razorpay or Stripe is connected.

When the customer pays, the payment is recorded on the invoice automatically and the status updates. The link always asks for the current balance, so you can send it again after a part payment. Without a gateway, the card shows a note to connect one in Settings → Integrations, and the link tells the customer to pay at the counter.

For the full walkthrough see send a pay link for an invoice, and to connect a gateway see accept online payments.

The buttons are greyed out when the customer has no phone number. Add a number to their profile first.
  1. 1Click Print / PDF.
  2. 2An A4 printable invoice opens with your logo, branch address, "Tax Invoice" (if you're tax-registered), the line items, the tax table, payments, the balance due and your invoice footer.
  3. 3Click Print / Save PDF and choose your printer, or choose "Save as PDF" in the print dialog.

For POS sales there's also a narrow 80 mm till receipt. See selling at the counter.

Void an invoice

  1. 1Click Void.
  2. 2Optionally type a Reason.
  3. 3Click Void invoice.

Voiding does all of the following:

  • Sets the status to void and adds "Voided by [name]: reason" to the invoice notes.
  • Puts sold products back into stock as a "Return" movement.
  • Refunds any Wallet payments to the customer's wallet.
  • Cancels package credits sold on this invoice.
  • Unlinks the booking, so it can be invoiced again.
  • Gives the coupon use back, so the code can be used again (it never goes below zero uses).
  • If cash, card, UPI, bank or online payments were taken, they stay on record and the invoice shows Refund due: [amount] (cash/card/UPI/online) — record refund outside FurKisses.
  • If part of that was paid through a pay link, the note also says how much was paid online and gives the gateway reference, so you can find the payment and refund it from your Razorpay or Stripe dashboard.

All of this happens together: if any step fails, nothing changes.

Who can do this

Sending, reminding and printing: anyone who can view invoices (Owner, Admin, Manager, Veterinarian, Front desk). Voiding: Owner, Admin and Manager only.

Good to know

  • Voiding can't be undone.
  • Cash, card, UPI, bank and online payments are not refunded automatically. Return that money yourself; the "Refund due" note on the invoice reminds you how much. Online payments are refunded from your Razorpay or Stripe dashboard, because FurKisses doesn't send refunds to the gateway.
  • Once an invoice is void, its pay link stops taking money and tells the customer it is no longer payable.
  • In your own invoice templates, put {{pay_link}} where the pay link should go (the older {{link}} works too). If a template mentions neither, the link is added at the end. With no gateway connected, or nothing left to pay, no pay link is added.
  • The pay link opens a payment page, not a copy of the invoice. If the customer needs a copy, save a PDF and attach it in WhatsApp.
  • Treat a pay link as private. Anyone who has it can see your business name, the invoice number and the amount, and pay it.
  • The app only opens WhatsApp for you. It can't confirm the message was actually delivered.
