Record payments, split payments and part-payments
Take one or more payments against an invoice, pay from a customer's wallet, see online and deposit payments, and understand unpaid, partial and paid.
Updated 2026-10-03
Each invoice keeps a list of the payments made against it. You can take payment while creating the invoice, or record payments later. Payments made through a pay link, and deposits paid for the booking, appear in the same list by themselves.
Record a payment
- 1Open the invoice from Invoices (
/app/billing). - 2Click Record payment. The button only shows while there's a balance due.
- 3Amount is filled in with the full balance. Change it to take less.
- 4Choose the Method: Cash, Card, UPI, Wallet, Bank transfer or Online.
- 5Add a Note / reference if you like, e.g. a UPI reference or the last 4 card digits.
- 6Click Save payment.
Split a payment across methods
To split a bill, record one payment per method. For example, record 500 as Cash, then click Record payment again and record the rest as UPI. The Payments card lists each one and shows "Split payment".
On the point-of-sale screen you can split while checking out. See selling at the counter.
Online payments and deposits
You don't record these by hand:
- Online payments. When Razorpay or Stripe is connected, the customer can pay from the invoice's pay link. Within a few seconds the payment appears under Payments as Online, with the gateway name and its reference, and the status updates. See send a pay link for an invoice.
- Deposits. A deposit paid for the booking is applied automatically when the invoice is raised. It shows under Payments as a Deposit line, and Record payment is filled in with what's left. If the deposit is bigger than the invoice, the extra goes to the customer's wallet.
Paying from the customer's wallet
Wallet only appears when the invoice has a customer. When you choose it, the form shows the customer's Wallet balance. A wallet can't go below zero. If there isn't enough, you'll see "Insufficient wallet balance" and nothing is charged. Add money to a wallet from the customer's profile, on the Wallet tab, with Add wallet credit.
Invoice statuses
The status updates by itself every time a payment is saved:
- unpaid: nothing has been paid yet.
- partial: some money has been paid and a balance is still due.
- paid: payments cover the total. Invoices with a zero total are marked paid straight away.
- void: cancelled by a manager. A void invoice can't take payments.
There's no draft status: every invoice starts as unpaid (or paid, if its total is zero). Until the first payment, its lines can still be edited.
The Invoices list shows Billed, Collected and Outstanding totals for your filters, and a Balance column for each invoice. You can filter by status and date, or search by customer name, phone or invoice number.
Who can do this
Owner, Admin, Manager, Veterinarian and Front desk.
Good to know
- You can't pay more than the balance due. The database refuses any payment above the balance, whichever screen it comes from. To give change for cash, use the point-of-sale screen, which works out the change for you.
- Payments can't be edited or deleted in the app, so check the amount before saving.
- Choose Online in Record payment only for money you collected elsewhere, such as a bank app or a gateway you run yourself. Payments made through the invoice's pay link are recorded automatically, so don't enter those again.
- If the same invoice is somehow paid twice online, the extra is kept as wallet credit for that customer.
- Take payment now on the New invoice page accepts a single method. Add the rest from the invoice page.
